JOB TITLE: LEGAL SECRETARY – FAMILY TEAM

PLACE OF WORK: FERNDOWN OFFICE

We are looking for a Legal Secretary to support Specialist Family Law Solicitor as a key member of our friendly Family team as it continues to deliver excellent service to our clients. This is a permanent role in our Ferndown Office.

We are looking for a candidate who has:

  • Academic qualifications: GCSEs in English and maths.
  • Experience of office work, ideally in the legal services sector.
  • An ability to work pursuant to strict instructions, but also an ability to show initiative.
  • An ability to work both as part of a team and also on your own.
  • An ability to act with tact and diplomacy.
  • Strong focus on quality customer service delivery.
  • Respect for confidentiality and discretion.
  • Be a good verbal and written communicator.
  • Good IT skills, especially in Excel, Word and Outlook with competency in audio typing.
  • Familiarity with IT facilities for email, diary, document creation and storage.
  • Ability to learn new systems especially case management and digital recording systems.

Your day-to-day tasks will include:

  • Producing legal documents, such as court forms and witness statements
  • Producing correspondence/emails and attendance notes
  • Ability to handle very confidential information
  • Ability to work to instructions from audio dictation and emails
  • Dealing with clients, face to face, by telephone and by email
  • Making appointments and managing diaries and meeting rooms
  • Keeping records, to include the source and volume of client enquiries
  • Preparing agendas and minutes of meetings
  • Filing and general administrative work.

JOB TITLE: RECEPTIONIST / ADMIN ASSISTANT

 LOCATION: INITIALLY BOSCOMBE OFFICE, MOVING TO CANFORD CLIFFS OFFICE IN 4 – 6 MONTHS

We are looking for a Receptionist / Admin Assistant to join our friendly team as it continues to deliver excellent service to our clients. This is a permanent role which will be temporarily based in Boscombe Office, pending re-opening of our Canford Cliffs Office in 4 – 6 months.

Key Responsibilities:

  • Being the first point of contact in relation to incoming enquiries.
  • Greeting clients, screening phone calls and taking detailed messages.
  • Photocopying, scanning and filing documents.
  • Audio-typing and printing finished documents.
  • Arranging appointments and providing refreshments to clients.
  • Provide assistance in sorting incoming mails, as well as in processing outgoing mails.
  • Provide support to other staff for the smooth operation of the office and the wider team.
  • Support fee-earners by occasionally generating letters, typing letters and attendance notes using case management system and digital recording system.
  • Other administrative duties as directed by fee-earners which may include data entry, word processing, establishing new case files and drafting simple correspondence.

Key Skills:

  • Good interpersonal skills and in particular enjoy contact with others whilst displaying tact, patience and understanding.
  • Patience in dealing with difficult visitors.
  • Attention to detail and high level of accuracy in a fast-paced office environment.
  • Ability to work both in a team and independently and maintain a positive outlook even when placed under pressure.
  • Strong orientation for quality customer service delivery.
  • Flexibility and dependability when providing support to other staff in the office and wider team.
  • Respect for confidentiality and discretion.
  • An excellent standard of written and spoken English is essential to this role.
  • Be a good verbal and written communicator.
  • Good IT skills, especially in Excel, Word and Outlook.
  • Ability to learn new systems especially case management and digital recording systems.
